DocuSanad

Features

Everything a document library should already do

Three web parts — Setup, Explorer and Compliance — that together turn a SharePoint site into a governed document management system.

01Provisioning

One-click library setup

Turning a blank site into a governed DMS is a button, not a project.

  • Creates the document library, content type and every metadata column
  • Adds governed views: pending approval, due for review, retention watchlist, legal hold, unclassified data, personal data register
  • Creates the Clients and Projects lists that Client → Project → Phase grouping reads from
  • Creates four SharePoint groups that DocuSanad roles resolve from
  • Idempotent — run it again after an upgrade and it adds only what is missing
02Document Explorer

The library you wish SharePoint gave you

Filter and group by what a document actually is, not where somebody happened to put it.

  • Nested grouping — Client → Project → Phase, configurable per web part
  • Faceted filtering across client, status, document type and phase, combined with search
  • Approval status badges and compliance flags visible in the row
  • Quick preview using SharePoint’s own viewer, so every format your tenant renders, renders
  • Bulk metadata edit, bulk approval requests, bulk recycle
  • Role-based visibility — Restricted documents are hidden from Readers
03Metadata on upload

Nothing lands untagged

The upload panel refuses to submit without the metadata your organisation requires.

  • Client, project and document type enforced at the point of upload
  • Selecting a client narrows the project list, which matters when you have hundreds
  • Confidentiality, retention policy and next review date captured at the same time
  • Drag and drop with per-file progress and a clear report of anything that failed
  • Documents that arrive by other routes are flagged as untagged and counted in the compliance view
04Approvals

Request, decide, and be able to prove it

A complete approval loop with no Power Automate licence and no flow to accidentally delete.

  • Request approval from any document or in bulk, with an optional due date
  • Approve or reject with comments, recorded against the document and in the audit log
  • Email sent through SharePoint’s own mail service — in-tenant, no premium connector
  • Retention starts running from approval rather than from upload
  • Full approval history per document, kept as evidence
05Compliance

Who did what, and what happens next

The view you show an auditor.

  • Append-only activity log: uploads, edits, approvals, downloads, deletions and disposition
  • Overdue reviews, expired retention and untagged documents counted and listed
  • Framework posture per regulation, scored over documents that framework actually governs
  • Data subject request search with erasure eligibility per document
  • Disposition review queue with recorded decisions and mandatory reasons

Also included

The parts that only matter when they are missing

Legal hold

Suspends disposition entirely, overriding every retention rule. Held documents never appear in a disposition queue.

Purview integration

Reads retention labels, holds and record declarations. Where Purview is present, Purview wins.

Classification

Detects personal, health, financial and payment data with checksum-validated patterns — no external service required.

Role-based visibility

Reader, Contributor, Approver and Administrator resolved from SharePoint group membership.

Teams surface

The Explorer and Compliance web parts can be exposed as Teams tabs or personal apps.

Theme aware

Inherits your SharePoint section theme, so it looks like part of your intranet rather than a bolt-on.
