DocuSanad

The document management system SharePoint should have shipped with.

DocuSanad turns a plain SharePoint library into a metadata-driven, workflow-enabled, governed DMS — installed into your own Microsoft 365 tenant. No new infrastructure, no data leaving your tenant.

The problem

You already pay for SharePoint. It just does not manage documents.

Libraries fill up. Nothing is tagged. Approvals happen in email. Nobody can answer “what have we got about this client, and can we delete it yet?” The capability that would fix it sits behind an E5 upgrade most organisations cannot justify.

Structured information architecture

Clients, projects, phases, document types and retention, provisioned in one click. Every document lands in a place that means something.

Comprehensive security

Confidentiality bands, role-based visibility and an append-only audit trail. Your content never leaves your tenant, because there is nowhere else for it to go.

Intelligent governance

Fourteen regulatory frameworks with citations, retention floors and ceilings, legal hold that overrides everything, and disposition decisions on the record.

Modern user experience

A fast, filterable explorer built with Fluent UI. Grouped by client and project, with approval status visible at a glance.

How it works

Four things, done properly

Not a platform. A short list of jobs that a document library should already do, and does not.

Setup

One click, then it exists

Provisioning creates the library, content type, metadata columns, governed views, security groups and audit lists. It is idempotent, so upgrades add only what is missing and never touch your documents.

Explorer

Find things by what they are

Filter and group by client, project and phase. Approval badges, compliance flags, quick preview and bulk actions. Every facet interaction is instant because the library loads once.

Upload

Nothing lands untagged

Required metadata is enforced when a document is added. Anything that arrives by another route is flagged as untagged and counted in the compliance view, so the gap is visible rather than silent.

Approvals

Request, decide, evidence

Approval runs entirely in your tenant with no Power Automate licence and no flow to accidentally delete. Every transition writes an audit entry and emails the right person.

What makes it different

Governance that knows which rules apply to you

Most document tools give you a retention dropdown and wish you luck. DocuSanad ships a registry of fourteen regulatory frameworks with the actual retention periods, data subject rights and breach windows — each finding carrying a citation your own counsel can check.
  • Retention floors and ceilings resolved across every framework that applies
  • Conflicts surfaced for a human rather than silently resolved
  • Legal hold overrides every retention rule, always
  • Data subject requests, with erasure eligibility per document

DocuSanad reports how your content compares with the frameworks you select. It is not legal advice and does not by itself make your organisation compliant.

Architecture

Your documents never reach us. There is no us.

DocuSanad runs entirely client-side inside your tenant, against SharePoint’s own APIs. No middle tier, no external service, no data egress. That is not a policy commitment — it is the architecture.
