DocuSanad

FAQ

Questions we would want answered

Including the ones about where the product stops.

What it is

What is DocuSanad, in one sentence?
A document management system that installs into your own Microsoft 365 tenant and turns a SharePoint library into something with real metadata, approvals, retention and regulatory governance.
Is it a separate application?
No. It is a SharePoint Framework solution — three web parts you add to pages on your own SharePoint sites. Your documents stay in SharePoint, where they already are.
Do we have to migrate our documents?
No. Setup can create a new library, or you can point the Explorer at an existing one and add DocuSanad’s metadata columns to it. Nothing is moved.
How is this different from just using SharePoint properly?
It is SharePoint used properly, without you having to design and build it. The information architecture, governed views, approval workflow, audit trail and compliance engine already exist and are provisioned in one click.

Data and security

Where is our data stored?
In your Microsoft 365 tenant. Documents stay in your SharePoint libraries; metadata, approvals and the audit log are ordinary SharePoint lists on your own site.
What can you see?
Nothing. DocuSanad has no server component, no database and no telemetry pipeline receiving your content. There is no infrastructure of ours in the request path.
What about the licence check?
It calls Microsoft Graph to ask whether the signed-in user holds a seat. It sends tenant and user identifiers only — never document content, names or metadata.
And AI classification?
Only if you enable it, and only to an endpoint you host in your own Azure subscription with your own key. We are not in that request path either. The proxy ships as source so you can audit it.

Compliance

Does DocuSanad make us GDPR compliant?
No, and anyone who tells you their software does is selling you something. Compliance is a property of your processes. DocuSanad gives you the evidence and the controls to demonstrate your posture, with citations your own advisers can check.
Can we use it for HIPAA data?
The compliance engine encodes HIPAA’s retention floor and audit control requirements. But HIPAA also requires a Business Associate Agreement with each business associate, and that is a legal arrangement, not a software feature. Talk to us and to your counsel before putting PHI in scope.
We already use Microsoft Purview. Does this conflict?
No. Where Purview is present, Purview wins. DocuSanad reads its retention labels, holds and record declarations, defers to them, and surfaces any disagreement for a records manager rather than silently overriding it.
Are the retention periods legal advice?
No. They are common baselines with citations. Real obligations vary by sector, record type, jurisdiction and contract, and frequently conflict. Confirm yours with counsel.

Limits

How large a library can it handle?
It is built for the libraries SMEs and consultancies actually have — hundreds to a few thousand documents. The Explorer loads up to a per-tier ceiling and says so plainly when it truncates. Libraries in the tens of thousands would want server-side paging, which is not built yet.
Can it send reminders when something is overdue?
Not on its own. A SharePoint Framework solution only runs while somebody has the page open, so unattended, scheduled work needs a Power Automate flow or an Azure Function. Immediate notification — an approval request, a decision — works today.
Can it read inside Word and PDF files to classify them?
Not with the built-in pattern classifier, which reads text-like files directly and otherwise sees only the file name and metadata — and says which of the two happened. Reading inside Office and PDF files is what the AI tier and your own endpoint are for.
Is the licence check enforceable?
It runs in the browser, so a determined person could bypass it. We accept that deliberately: every paid feature runs on your infrastructure using your own credentials, so a bypass costs us nothing to serve. Enterprises buy the right plan because procurement requires it.

Something we have not covered?

Ask us directly. We would rather tell you DocuSanad is the wrong fit than sell you something that does not solve your problem.
